What is eTIMS?

Kenya's mandatory e-invoicing system

The Electronic Tax Invoice Management System (eTIMS) is a KRA initiative requiring businesses to submit tax invoices electronically in real time. Every VAT-registered business and those reaching the KES 5M annual threshold must comply.

Electronic invoices

Every invoice must be submitted to KRA for validation before it is considered tax-compliant.

CU number

KRA returns a Control Unit (CU) number that must appear on every accepted invoice.

QR verification

A QR code on the invoice lets customers verify authenticity directly with KRA.

How it works

Zero extra effort — Daybook handles it

eTIMS compliance takes one click per invoice. Daybook queues submissions, retries failures automatically, and surfaces the CU number and QR when accepted.

01

Create invoice

Record a sale or issue a standalone invoice as usual in Daybook. No extra steps required.

02

One-click submit

Press Submit on any invoice. Daybook queues the submission to KRA eTIMS asynchronously.

03

KRA accepts

The KRA eTIMS system validates and accepts the invoice, returning a CU number.

04

QR on your invoice

The accepted invoice gets the CU number and a QR code. Send it via WhatsApp or PDF.

Features

Enterprise-grade, small-business simple

Asynchronous submission

Submissions are queued and processed in the background — your app stays fast even if KRA's API is slow.

Automatic retries

Failed submissions are retried with exponential back-off. You get notified; you don't have to babysit.

CU number tracking

Every accepted invoice stores the KRA Control Unit number and serial for audit trail.

QR code on invoices

The KRA verification QR appears on accepted invoices — shareable over WhatsApp or printable on receipts.

Credit note support

Need to reverse an accepted invoice? Issue a credit note to KRA with a single button press.

Sandbox & production

Test end-to-end in KRA's sandbox environment before flipping to production — zero risk.

Encrypted credentials

Your KRA client ID and secret are stored AES-256 encrypted. They never appear in logs or API responses.

Rejection diagnostics

Rejected invoices surface the KRA error message right in the dashboard so you can fix and resubmit.

Accepted invoice

CU number + QR on every invoice

Once KRA accepts the submission, Daybook stamps the invoice with the Control Unit number and QR code automatically. No manual entry. Send it via WhatsApp or PDF — it's already compliant.

  • Automatic CU serial and number on acceptance
  • QR code links directly to KRA verification portal
  • Accepted invoices cannot be accidentally resubmitted
  • Credit notes preserve the audit chain with KRA
